What Your Event Team Can Expect

Before the event: We coordinate your schedule, booth location, power and access needs, backdrop choices and sponsor branding. A working area of approximately 12 × 15 feet is preferred for the studio and attendee flow; we can discuss your venue’s layout in advance.

During the event: Our photographer and assistant handle the onsite station. Attendees register using the available check-in process, are photographed with professional studio lighting, choose a favorite and receive a private gallery by email. The station can operate using our own connectivity and battery power where venue conditions require it.

After the event: Each attendee receives access to their private gallery, including one retouched selection. The organizer can receive a master gallery and attendee information export as agreed, with galleries available for six months. We can also discuss sponsor visibility and approved follow-up uses during planning.

How do attendees register for their headshot?

Attendees scan a QR code and complete a simple registration. The same workflow connects each person to their private image gallery.

How quickly are images delivered?

All images from the session are delivered immediately in a private gallery, so attendees can download and use them right away.

Is retouching included?

Yes. Each attendee may select one image for complimentary professional retouching. The retouched image is delivered after completion.

Do attendees receive every image?

Yes. Attendees receive all images from their session in a private gallery, not only the single image selected for retouching.

What does the event organizer receive?

The organizer receives a complete event gallery. An optional CSV of attendee registration information can also be provided when reporting is requested.

Can the station be branded for a sponsor?

Yes. Sponsor branding can be incorporated into the attendee experience and gallery presentation, creating a useful branded interaction rather than a passive booth display.

How does a headshot station support lead generation?

The station attracts consistent booth traffic and uses QR registration to create an organized attendee flow. When arranged in advance, registration information can be supplied as an optional CSV.

How much administration is required from our team?

Very little. We manage the photography station, attendee guidance, image delivery, gallery workflow, retouching selection process, and organizer gallery.
