When a conference brings hundreds of professionals together, the most memorable attendee experiences offer something useful long after the event ends. At the Gaylord Texan Resort & Convention Center in Grapevine, Texas, our team demonstrated how an onsite headshot station can deliver exactly that.
During one two-and-a-half-day conference assignment at the Gaylord Texan, we photographed more than 300 professional headshots and delivered each attendee’s images directly to a private online gallery. The photographs below show our headshot station at other events at the same venue; they are examples of our onsite setup, not photographs from that specific 300-plus-headshot assignment. The goal was simple: give busy conference guests a polished portrait without requiring a separate studio appointment or a wait for event photos to be processed.
A Professional Studio Built for the Conference Floor
Our portable headshot station brings professional camera equipment, consistent studio lighting, and a clean portrait backdrop into a venue’s available event space. The setup is designed to fit into busy conference schedules while keeping the finished portraits consistent from one attendee to the next.

For organizers, the advantage is that professional portraits can become part of the conference experience instead of a separate appointment to arrange after attendees return home.
More Than 300 Headshots Over Two and a Half Days
Photographing more than 300 people at an event calls for a process that is efficient without feeling rushed. Attendees need a straightforward experience, a professional result, and clear instructions for receiving their pictures. Our station is built around those requirements.
In this assignment, each participant received access to their own gallery by email, rather than needing to search through a large shared event gallery. That private-gallery approach made it easy for attendees to find their portraits and use them for professional profiles and business communications.
Instant Delivery Makes the Experience More Valuable
A headshot is useful only when the person photographed can actually get it. With our onsite workflow, attendees could receive their private gallery links within minutes of being photographed. Instead of waiting until after the conference, they could review and download images while the event was still underway.
That convenience is especially relevant for LinkedIn updates, employee directories, speaker biographies, company websites, and other professional uses.
Conference Branding and Attendee Engagement
A headshot station can also become a visible part of an event’s branded experience. At a separate PRSSA Health Academy conference at the Gaylord Texan, our portrait area included custom conference signage and a step-and-repeat backdrop alongside the professional lighting and photography equipment. This is a different event from the 300-plus-headshot assignment described above.

For exhibitors and sponsors, the practical benefit is a service attendees genuinely want. For guests, the benefit is a professionally lit portrait they can take home digitally, with no need to track down a photographer afterward.
